1. Agreement and acceptance
By selecting a booth, submitting the online exhibitor information and accepting these terms, the exhibitor enters into a binding agreement with the Alberta Real Estate Association (AREA) for participation in AREA Connect Edmonton. The individual accepting these terms confirms that they have authority to bind the exhibitor.
2. Event and exhibit space
AREA Connect Edmonton will take place on Saturday, September 19, 2026, in the Jubilee Ballroom at the Wyndham Edmonton Hotel & Conference Centre, 4440 Gateway Boulevard NW, Edmonton, Alberta. Exhibitor setup is scheduled from 9 a.m. to 12 p.m. and the event is scheduled from 1 to 4 p.m. Each purchased booth is approximately 10 feet by 10 feet and includes one table and two chairs. AREA may provide additional operational instructions before the event.
3. Booth fees, payment and confirmation
The fee is $800 plus applicable GST for each booth. An exhibitor may purchase one booth per booking. Full payment is required through AREA's Stripe checkout. A booth is not confirmed until AREA receives successful payment and issues a confirmation. Booth fees are non-refundable and non-transferable except where AREA expressly agrees otherwise in writing.
4. Booth allocation and floor plan
Booths are allocated on a first-paid, first-confirmed basis. AREA will make reasonable efforts to honour the booth selected online, but reserves the right to modify the floor plan, traffic flow or booth location where required for safety, venue operations, accessibility, event delivery or other reasonable operational purposes. The AREA registration area is not available for purchase.
5. Exhibitor eligibility and conduct
AREA may determine whether an exhibitor, display, product, service, promotion or activity is appropriate for the event. Exhibitors must comply with all applicable laws, venue requirements, health and safety rules, fire regulations and reasonable directions from AREA or venue staff. AREA may prohibit conduct or materials that it considers unsafe, misleading, discriminatory, unlawful, disruptive, offensive or inconsistent with the purpose of the event.
6. Use of the booth
The exhibitor may use the booth only to promote the organization, services and opportunities identified in its registration. Displays and materials must remain within the allocated booth space and must not obstruct aisles, exits, neighbouring booths, accessibility routes or venue equipment. Professional signage is required. The exhibitor may not attach materials to venue walls, floors or fixtures without prior approval.
7. Setup, attendance and dismantling
The exhibitor must complete setup during the designated setup period, keep the booth staffed during event hours and not dismantle or remove the display before the event closes unless AREA directs otherwise. The exhibitor must remove all materials promptly after the event and return the space to its prior condition. The exhibitor is responsible for additional costs caused by damage, extraordinary cleaning, late removal or failure to comply with venue requirements.
8. Assignment and sharing
The exhibitor may not assign, resell, transfer, share or sublet all or part of a booth without AREA's prior written approval. Each separately participating organization may be required to register and purchase its own booth.
9. Promotions, intellectual property and materials
Contests, draws, demonstrations, music, audiovisual content and other promotions must comply with applicable law and may require AREA's prior approval. The exhibitor is responsible for obtaining all licences, permissions and consents required for its materials and activities, including intellectual property and music rights.
10. Insurance and risk
The exhibitor is responsible for its property, equipment, display, materials, representatives and activities. The exhibitor must maintain commercial general liability insurance of at least $1,000,000 per occurrence, or another amount communicated by AREA, covering its participation in the event. AREA may request evidence of insurance. AREA and the venue are not responsible for loss, theft or damage to exhibitor property except to the extent caused by their proven negligence or as otherwise required by law.
11. Indemnification
To the extent permitted by law, the exhibitor will indemnify and hold harmless AREA, the venue and their respective directors, officers, employees, agents and representatives from claims, losses, liabilities, damages, costs and reasonable legal expenses arising from the exhibitor's breach of these terms, negligence, misconduct, booth occupancy, materials, equipment or event activities.
12. Cancellation, breach and termination
If the exhibitor cancels, reduces its booth order or does not attend, amounts paid remain non-refundable and non-transferable. If the exhibitor breaches these terms or creates a safety, legal or operational concern, AREA may suspend activities, remove materials, relocate the booth or terminate participation without refund. These remedies do not limit any other rights available to AREA.
13. Event changes and force majeure
AREA may change the event date, time, location, format or duration where reasonably necessary. AREA is not liable for delay, curtailment, relocation or cancellation caused by circumstances beyond its reasonable control, including fire, flood, severe weather, public-health events, labour disruption, government action, venue unavailability, utility failure, civil disturbance or other force majeure. AREA will determine, acting reasonably, whether any credit, transfer or refund will be offered in those circumstances.
14. Meals and dietary requirements
Lunch will be provided for registered exhibitor representatives. Exhibitors should identify dietary restrictions or allergies in the registration form so AREA can communicate them to the event caterer. AREA will make reasonable efforts to accommodate dietary requests but cannot guarantee an allergen-free environment. Exhibitors remain responsible for assessing whether food provided is suitable for their individual needs.
15. Privacy and communications
AREA will use the information submitted to administer the booking, process and reconcile payment, communicate event instructions, maintain event records and support event delivery. Payment card information is collected and processed by Stripe and is not entered into the AREA booking form. AREA may send transactional communications related to the booking and event.
16. General
These terms, the online registration and AREA's written event instructions form the entire agreement relating to the booth. Changes must be agreed to in writing by AREA. A waiver of one breach is not a waiver of another. If a provision is unenforceable, the remaining provisions continue in effect. This agreement is governed by the laws of Alberta and the federal laws of Canada applicable in Alberta.
